Meeting recording notice

You have arrived here because a notetaker joined a meeting you attended, or because a meeting invitation said the meeting would be recorded. This page explains what is captured, what happens to it, and what you can do if you would prefer not to take part.
The organization that invited you to the meeting is the one recording it. They use atlanticma.ai, a project management platform, to do so. atlanticma.ai processes the recording on their behalf and under their instructions; they decide what is recorded and who may see it.
What is captured
When the notetaker is present in a meeting it captures:
- The audio of the meeting, for the purpose of producing a transcript.
- A written transcript of what was said, attributed to the speaker where the meeting platform makes that available.
- Your display name as it appears in the meeting, and the meeting title, date and duration.
The notetaker does not analyze video, faces, or tone of voice. Its inputs are text and audio for transcription only.
What it is used for
The transcript is analyzed to help the organizing team run their project. In practice that means:
- Producing a summary of what was discussed and decided.
- Identifying action items and commitments made in the meeting.
- Proposing updates to the project work plan — for example, that a task appears to have slipped or completed.
These are proposals, not changes. Someone on the project team reviews each one and decides whether to accept it. Nothing derived from a meeting is applied to a project record automatically.
Meeting content is processed within atlanticma.ai's own cloud environment, in the region where the organizing team's data is held. It is not used to train artificial intelligence models, and it is not shared with model providers for that or any other purpose.
Who can see it
The recording, transcript and anything derived from them are visible only to authorized members of the organizing team within their own account. atlanticma.ai does not share them with other customers, and does not sell personal information.
How long it is kept
Meeting content is retained for as long as the organizing team's project requires it, and is deleted when they delete the project or close their account. The organizing team sets its own retention practice and can delete a meeting at any time.
If you would prefer not to be recorded
You can:
- Leave the meeting. You are not obliged to take part in a recorded meeting.
- Ask the organizer to remove the notetaker, or to hold the meeting without it. The organizer controls whether it joins.
- Contact the organizing team directly to ask that a recording or transcript of you be deleted.
